POSITION SUMMARY: Reporting to the Sales Support Manager, the Project Coordinator’s primary responsibility is to ensure the successful execution and installation of customer orders by coordinating projects, dispatching field operations team, educating contractors, shipment of materials/field logistics and addressing customer concerns. The incumbent will assist with planning, scheduling and setting objectives throughout the order phase, and will assist with RFI’s, invoices and document control process as well as plan and ensure all delivery timelines are met and that established work flow processes are followed.

 

DUTIES & ACCOUNTABILITES:

  • Review sales orders and interface with the sales team, engineering, and other Field Operations personnel to ensure the client has ordered the correct materials, rental equipment, consumables and labor requirements.
  • Work with Demand Manager and Warehouse Coordinator to ensure the inventory levels allow for completion of the sales order
  • Issue the pick list to the Warehouse Coordinator to initiate packing, staging and shipping of all materials and rental equipment
  • Coordinate Transportation including all required shipping documents are done prior to material shipments
  • Communicate with inspectors, contractors and clients to ensure timely delivery and to obtain full understanding of the project parameters to ensure compatibility and on time delivery
  • Work with Field Operations personnel to troubleshoot any problems that originate at the field level
  • On-call evenings and weekends to allow clients to ask questions, request additional materials or report concerns with materials and equipment
  • Develop and maintain a strategy for return of empty reels and rental equipment
  • Maintain all project information/documents are in IFS and the Customer Order Folders, and communicate billing requests to the accounting department
  • Assign crews to specific projects, communicate job parameters, requirements and expectations to the foremen.
  • Provide weekly Field Operations update on upcoming and past projects.
  • Report any field issues to Sales to allow them to follow up with their clients
  • Tack field nonconformance issues in Intelex and assist with field investigations to remediate issues
  • Field and installation site visits as required to interface with clients and contractors
  • Maintain and up-date US field services schedule

KNOWLEDGE AND SKILLS:

  • Understanding of oil & gas pipeline installation, composite pipe knowledge preferred
  • Detailed organization and communication skills required
  • Strong computer background required, MS Office Suite and other proprietary software.
  • Ability to multitask and coordinate multiple projects and disciplines all at once
  • Ability to travel at least 25% required
  • Post Secondary Education preferred
  • Past sales, estimating, or project management experience would be helpful
